For Registered Owners - You are a registered owner if you have
paid RKS Software, Inc. the $39 registration fee. You are
licensed to use this copy of Label Master 5.1 on a SINGLE machine
and to make archival copies for the sole purpose of backing up
the program. If you have more than one computer, you must
purchase separate copies of Label Master 5.1 for each computer.
Think of software as you do a book. It is not legal to purchase a
book and distribute photocopies of it to others so they can avoid
purchasing the book. Similar laws apply to software. Please do
not make illegal copies of this program.

SOME QUESTIONS
What is Label Master 5.1?
Label Master 5.1 is a very powerful, yet easy to use mail
management program. With it, you can create a file of names
and addresses, edit the file, search for specific records or
browse through the file, and print labels and reports in any
of several formats.
Label Master 5.1 contains several features designed to let
you save money by taking advantage of bulk business mail
rates. Specifically, Label Master 5.1 can print bar codes
and carrier route sort numbers on your labels, produce bulk
mail reports to meet U.S. Postal Service requirements, and
contains a utility to let the Postal Service convert your 5
digit zip codes into 9 digit zip codes.
Label Master 5.1 contains a utility which lets you merge
your name and address data into form letters which Label
Master 5.1 will print for you.
Label Master 5.1 contains a large number of additional
features to help you easily manage mailing lists.
Label Master 5.1 maintains an unlimited number of records.
You are only limited by the capacity of your hard disk.
What equipment do I need?
Label Master 5.1 is designed to work on any IBM or IBM
compatible personal computer, with a monochrome or color
monitor, and a hard disk. It requires 384K of working
memory. Label Master 5.1 works with any dot matrix or laser
jet printer (see Services menu, option K). If you want to
use its automatic telephone dialing capability, you will
need a Hayes or Hayes-compatible modem.
Label Master 5.1 requires a hard disk system.
I am upgrading from an earlier version of Label Master. Can I
use my existing records without having to retype them?
Please see Notes for Converting from Earlier Versions,
below.

INSTALLATION
Make a working copy of the program disk and put the original away
in a safe place.
INSTALLATION ON A HARD DISK:
1. Place the working disk in drive A.
2. Type INSTALL plus the letter of the drive on which you wish to
install Label Master 5.1. Example: INSTALL C <press Enter>.
NOTE: do not type a colon ":" after the drive letter.
3. The install program will install Label Master 5.1 on the hard
disk drive you have specified, in a directory called LM5, and
start Label Master 5.1 for you.
4. To start Label Master 5.1 any time in the future, go to the
LM5 directory, and type LM5.
- VERY IMPORTANT -
CONFIG.SYS FILE
DOS uses the CONFIG.SYS file to set certain defaults for your
computer. It MUST be in the root directory of your fixed disk. If
you do not already have a CONFIG.SYS file you MUST create one
that has these two lines, and place it in your root directory:
FILES=21
BUFFERS=16
If you already use a CONFIG.SYS file that does not include
settings for files and buffers, you MUST add the two lines above
to the file. You can do it with any text editor. If your
CONFIG.SYS file already contains settings for files and buffers
greater than these, you can leave them as they are.
STARTING LABEL MASTER 5.1
Type LM5 at the DOS prompt of the LM5 directory to start Label
Master 5.1.
In most cases, Label Master 5.1 will be able to detect whether
you have a color or monochrome monitor. If you have a monochrome
monitor and the Label Master 5.1 screens appear to have a bright,
washed out look, type LM5 M to start Label Master 5.1. The extra
M tells Label Master 5.1 to use monochrome, not color.
When you first start Label Master 5.1, go to the Services menu
and (1) print the Users Manual, and (2) select your printer.

WORKING WITH RECORDS
You may select any main menu option by pressing the first letter
of the option, or by placing the lite-bar over the option and
pressing the Enter key.
Note: you may press the Esc key at any place in the program to
leave the present screen or operation and return to the previous
screen or operation. For example, if you are in the middle of
editing a previously entered record and decide to abort editing,
just press the Esc key and you will be returned to the main menu
with the original record unchanged.
MENU OPTION: ADD
Select this option to add new records. See the discussion below
under Services D- (Set Defaults) for how to set a number of
options you may use while adding records.
Note that the Zip Code field comes immediately after Street, and
before City and State. This may seem odd at first, but you will
soon see why we do it this way. Label Master 5.1 keys off the
Zip Code field to use the records you have already entered as a
look-up table. If it finds that you have already entered a
record with the same Zip Code as the record you are currently
entering, Label Master 5.1 will pull the City, State, and Country
data from that record into the record you are currently entering.
It happens instantly. Once you enter a City, State, and Country
for a particular zip code, you will NEVER have to enter it again.
If you do not like this feature, you can turn it off with option
D (Set Defaults) on the Services menu.
Use the Prefix field for Mr., Mrs., Dr., etc. Use the date field
to record any date which may have meaning for that record. Use
option D (Set Defaults) on the Services menu to have Label Master
enter today's date in this field when you add new records.
The Notes field can be used for any information you want, but if
you want to code your records this is the place to do it. You
will probably work out your own coding schemes, but here are some
examples. If you want to keep business and personal records in
the same file, you could enter a P in the Notes field for
Personal, and B for Business.
If you want to keep the records of job applicants and employees
in the same file, you could code Applicants with A and Employees
with E. The important thing is that the codes be unique.
Used in conjunction with the F10 filter option, Notes field
coding can be a powerful tool. The F10 filter is explained below.

MENU OPTION: EDIT
Select this option to edit any record. Press PgDn to save your
changes.
MENU OPTION: FIND
Select this option to display a record. Enter the search
criteria and press PgDn to search. If using a last name,
organization, or zip code in the search criteria, first use the
F3 key to pick the matching index field, and the record will be
retrieved instantaneously. A small arrow appears beside the Last
Name, Organization, or Zip Code field heading to indicate the
currently selected order.
Label Master 5.1 will display the first record matching the
search criteria. For example, if you enter SMITH in the Last Name
field, Label Master 5.1 will find the first Smith in the file.
If you enter CA in the State field, and nothing else, Label
Master 5.1 will display the first California record in the file.
If you enter SMITH in the Last Name field and CA in the State
field, Label Master 5.1 will display the first Smith in
California.
You may also use the F3 key to select Order of Entry as the
method for displaying your records. When Finding a record when
records are displayed by Order of Entry, you will be prompted for
the record number. Enter the record number you want and press
Enter. The record number of each record is displayed is the
lower right-hand corner of the screen.
MENU OPTION: ZAP
Select this option to delete the current record. If you zap
(delete) a record, the data is gone forever. Because Label
Master 5.1 recycles zapped records, your record count in the
lower right corner of the screen will not change when you zap a
record. See F8 below.
MENU OPTION: NEXT
Select this option to display the next record.
MENU OPTION: PREVIOUS
Select this option to display the previous record.
MENU OPTION: DIAL
If you have a modem on your system, you can use this option to
automatically dial the phone number of the displayed record.

Select this option to print mailing labels. You will be
presented with the following menu:

SETTING LABEL MENU OPTIONS
Set labels across to: labels can be purchased on sheets holding
from one to four labels across. Enter here the appropriate
number for the type you are using. The default is 1
Set label width to: labels come in many widths. Enter here the
width of your label. The default is 3.5
Set left margin to: enter the column at which you want your
printer to begin printing. The default is 0.
Enter an X to print field: enter an X beside each field you want
to print on your labels. The defaults are Name, Title,
Organization, Street, and City+State+Zip.

If you are a bulk mailer using Carrier Route numbers, place an X
next to this item on the menu. Label Master 5.1 will print the
carrier route numbers you have entered on each label above the
name and address lines. This will add two lines of print to your
label, one for the carrier route number, plus one blank
separation line.
If you want Label Master 5.1 to print bar codes on your labels,
enter an X for Bar Codes. Some bar code notes:
- when you use bar codes, this will add two lines of print
to your label, one blank line plus the bar code line.
- bar coding will fail on Canadian and other postal codes
which use alphabetic characters.
- when printing 2, 3, or 4 labels across, if one postal or
zip code is bad, i.e., contains alphabetic characters, the
whole line of bar codes will fail.
The temporary first line feature allows you to print Resident or
some other ad hoc text of your choice.
Add these blank lines to label: enter the number of blank lines
you want to insert between labels. Use this option to adjust for
different size labels. The default is 1.
Pause after each page: enter a Y (Yes) or N (No) if you are
manually feeding single sheets of labels to your printer and you
want the program to pause after each sheet so you can insert
another one. If you answer Y to this question, you will be asked
to specify the number of labels there are on each sheet. The
default is N.
Notes on Labels and Printers
For laser jets, we recommend you use labels designed specifically
for laser jet use. Avery produces a very good selection of
mailing labels for both dot matrix and laser jet printers. Avery
laser jet labels come in several sizes. Examples are:
# 5260 2 5/8" x 1" 30 labels per sheet 750 total labels
# 5261 4" x 1" 20 labels per sheet 500 total labels
# 5262 4" x 1 1/2" 14 labels per sheet 350 total labels
Both kinds of mailing labels are available from most good
computer and office supply stores, or by mail order from quality
mail order companies such as Moore Business Products or NEBS (New
England Business Service). The Moore Business Products number is
1-800-323-6230. The NEBS number is 1-800-225-9550.

There are many laser jet and dot matrix printers on the market.
Label Master 5.1 was developed and tested using the industry
standard Epson dot matrix printers and Hewlett Packard Laser Jet
Series II printer. If you encounter printing problems, check
your printer manual to see if your printer has an Epson, or HP,
emulation mode. Chances are, it does.
If you are using a laser jet printer, you can control the top
margin, and the number of lines per page to print. See Set
Printer on the Services menu. The defaults are a top margin of 3
and a page length of 60 lines. This default setting works fine
for the most common 1 inch (vertical) laser jet labels.
If you are using labels bigger than 1 vertical inch, you will
have to adjust the top margin and lines per page setting. For
example, if you are using 1 1/3 inch labels which come 14 per
sheet (2 rows of 7 labels), your settings will probably be a top
margin of 5 and a page length of 56. Printers print 6 lines per
inch, so each 1 1/3 inch label takes 8 lines. 8 lines per label
times 7 labels = 56 lines per page.
NOTE:
Label Master 5.1 prints labels in the order you have selected
with the F3 (set index) key. The arrow beside the Last Name,
Organization, or Zip Code shows the current order. If no arrow
is showing, this means you have used the F3 key to have Label
Master 5.1 work with your records in the Order of Entry.
MENU OPTION: SERVICES
Select this option to display a list of important utilities.
A - Select Records File - You can use this feature to switch to a
floppy disk of records on drive A or B, or to switch to another
hard disk directory. When you select this feature, a list of
floppy drives and hard disk directories will appear. Pick the
drive or directory you want.
You can change the list by selecting Label Master File Locations
from the main menu View option. The defaults are A:, B:, and
C:\LM5. NOTE: Please see the VIEW option below for information
on how to add additional Label Master 5.1 file locations.
If you want to keep a separate mailing list on a floppy disk,
just place a formatted disk in drive A or B, select the drive you
want from the pull-down menu, and Label Master 5.1 will
automatically create the necessary files on the floppy disk. You
can keep about 800 records on a floppy disk.

If you pick a hard disk directory, Label Master 5.1 will ask you
to enter the name of the directory you want to switch to, e.g,
C:\CLIENTS. Label Master 5.1 will automatically switch to the new
directory and load the new file.
If you select a directory in which you have not used Label Master
5.1 files before, Label Master 5.1 will automatically create new
Label Master 5.1 files in that directory.
If you select a directory which does not yet exist, Label Master
5.1 will ask you if you want to create the new directory. If you
answer yes, Label Master 5.1 will automatically create the new
directory, and create new Label Master 5.1 files in that new
directory.
Label Master 5.1 always shows you the current drive and directory
in the lower left part of your screen.
Please remember to back up each of these separate mailing list
files.
B - Reindex Files - Label Master 5.1 uses automatically
maintained files called indexes to keep your records in order by
last name and zip code. Power outages, power surges, brownouts
(voltage reductions), or other power-related problems affecting
your system can adversely affect these index files without your
knowing it. If your records ever seem to be out of sequence, just
use this feature to rebuild the index files.
C - Check State/Zip Codes - use this feature to display or print
a list of records with erroneous state/zip codes. When you
select this feature, Label Master 5.1 checks to see if the entry
in the state/province field of each record (e.g. VA, NY, PA,
etc.) appears in the state/province look-up table. If it does,
Label Master 5.1 then checks to see if the zip code entry for the
record falls within the range of zip codes for that state or
province. If either one of these checks fails, Label Master 5.1
reports an error.
Label Master 5.1 comes complete with state/territory/zip code
data for the United States, and province/territory/postal code
data for Canada. Use the main menu View option to add
state/province data for other countries if you desire.
D - Set Defaults - Use this feature to enable/disable certain
features:
The first eight questions apply to features which are active when
you are adding new records, i.e., when you have selected Add from
the Main Menu.

If you want to repeat information from one record to the next,
answer Y to the first question. This can save lots of time if
you are adding records from the same zip code, the same city, or
the same company.
If you want to print records as you enter them, answer Y to the
second question. This is useful when you are entering many
records and want to later compare what was actually entered into
Label Master 5.1 against the source documents. It is a good
error checking feature when entering large numbers of records.
If you want to have new records dated as you enter them, answer Y
to the third question.
If you want Label Master 5.1 to automatically insert the city,
state, and country from a previously entered zip code, answer Y
to the fourth question.
If you want Label Master 5.1 to check whether the new record you
are adding has already been entered, answer Y to the fifth
question.
The next three questions ask whether you want to skip the Title,
Organization, or Country fields when adding new records. Many
people keep mailing lists in which they never enter this type of
data. Answering Y (Yes) to these questions will suppress these
fields when entering new records, saving you a lot of keystrokes.
You can always enter this data later if you want because these
fields are not suppressed when you Edit an existing record.
The next question allows you to set the column at which you want
to print when printing labels while adding new records or when
using the Main Menu F6 key to print records. One use for the F6
feature is to print an address directly on an envelope. With this
feature, you can specify exactly where you want the address to
print on the envelope.
The next question lets you specify the number of characters you
want the last name and organization indexes built on. The
defaults are 15 for the last name field and 10 for the
organization field. The valid range is 1 to 30 for both indexes.
If disk space is a consideration, you can lower these numbers to
reduce the size of the lname.ntx and org.ntx files.

E - Reports - Use this feature to:
- design and print hardcopy lists of your records. See
Appendix A for complete instructions. Several pre-formatted
reports are provided with Label Master 5.1.
- produce bulk mail reports to help you obtain bulk mail
discounts.
-identify duplicate records. Use this feature to view or
print duplicates by last name or street. When checking for
street duplicates, you will be asked how much of the street
address to use in the comparison, from 1 to all 30
characters. Maple St. is different from Maple Street, as
far as the computer is concerned. If you compare on only the
first 6 or 7 characters you will get most true duplicates.
This report prints the record number before each duplicate.
At the main menu, if you use the F3 key to set the order of
records to Order of Entry, you can use Find to jump quickly
to desired duplicate records by searching on record number.
-state distribution. Use this feature to see how many
records you have in each state.
F - Copy to ASCII/Floppy - Use this feature to copy your records
to an ASCII text file in the current hard disk directory, or to a
floppy disk.
Each record in the ASCII text file will be separated by commas
and quotation marks. This is a standard ASCII record format
recognizable by most word processing programs such as
WordPerfect. It is also known as the mailmerge format.
The copy-to-floppy feature is not a file backup routine. It
copies to only one disk at a time. When used with the F10
filter, it can be very useful in creating diskette files
containing small subsets of your main records file.

G - Append Records - Use this feature to append Label Master 5.1
records, Dbase records, or records in ASCII format. Be sure you
have enough disk space available to accommodate the additional
records.
In the case of dBase records, the field names must match Label
Master's field names. In the case an ASCII text file, the
records must consist of 16 fields, in exactly the same order as
Label Master's fields, and delimited by commas or quotation
marks. Label Master's record structure is:

The BEGIN and SEQNO fields do not appear on any screens. They
are used internally by Label Master 5.1 to prepare bulk mail
reports.
H- Case Conversion - This option lets you convert your mailing
address data (not the Notes, Phone, or Memo fields) to upper case
and vice versa. The Postal Service offers discounts for bulk mail
when the addresses are in upper case.
I - Search and Replace - Use this feature to find and replace any
text in any field.
J - Zip-Plus-4 Service - This feature allows you to take
advantage of the U.S. Postal Service's free service whereby they
will convert your five digit zip codes to nine digit zip codes.
This service will also automatically correct any of your five
digit zip codes which are incorrect.
If you have a mailing list of any size, this service can save you
a large amount of money. See Appendix D for complete details.

K - Select Printer - use this feature to tell Label Master 5.1
what printer and printer port you are using. If you do not find
your printer on Label Master's list of 240 printers, let us know
and we will update our printer list for you.
Use this feature also to select the font you want your printer to
use. Please note that your printer must support the font you
select. For example, if you select italics and your laser jet
does not have an italics font, you will just get the printer's
normal default font instead of italics.
Use this feature also to set the top margin and lines per page
for label printing if you are using a laser jet printer.
L - Form Letters - Use this feature to create a short letter,
embed field names in the letter, and send the letter to the
person in the currently displayed record, or to everyone on your
mailing list. This feature, like all others, obeys the filter
condition, so you can send the letter to any selected sub-set of
persons on your list.
M - Print Users Manual - Use this feature to print a copy of the
Users Manual.
N - Select Date Format - Use this feature to select the date
format you prefer.
MENU OPTION: VIEW
Select this option to browse through the records of the main
records database, the states/provinces database, the notepad
database, and the Label Master 5.1 file locations database.
For the main records database, this option, like all others,
obeys the filter condition. (see function key F10 - set filter
on/off, below).
The states/provinces look-up table is the database Label Master
5.1 uses to check the accuracy of the State/Zip code combinations
in your records when you use option C on the Services menu. You
can add records to this look-up table if you have addresses in
other countries. Label Master 5.1 comes complete with
state/territory/zip code data for the United States, and
province/territory/postal code data for Canada.

Use the Notepad database to record anything you want. We put it
here so you could have a convenient place to keep a record of any
codes you might be using in the Notes field, but you can use it
for anything you want.
The Label Master File Location file contains the location of
Label Master 5.1 files you want to maintain on floppy drives or
hard disk directories. If you add Label Master 5.1 file location
records to this file, be sure to precede any hard disk directory
name with the drive designator, e.g., C:\CLIENTS. Do not place a
\ at the end of the directory name. Any file location records
you add to this database will automatically appear as choices
when you select the Change File option from the Services menu.
FUNCTION KEYS
F1 function key - at any point in the program you can press F1 to
read this User Manual. When reading the User Manual, you can
search for items by pressing the F9 key and then entering the
search word.
F2 function key - use this feature to edit the text in the memo
field of the current record. You may enter any text you want.
We suggest you keep your comments short, however, since disk
space used for memos means less space available for records.
Press F10 to save any changes. Press Esc to exit without saving
changes.
F3 function key - Use this feature to select the way you want
Label Master 5.1 to work with your records, i.e., by last name,
organization, zip code, or order of entry. A small arrow will
appear beside the Last Name, Organization, or Zip Code field
heading to indicate the selected order. No arrow will appear if
you have selected if Order of Entry.

F4 function key - use this feature to make a copy of the current
record.
F5 function key - use this feature to display a pop-up calendar.
Press Esc to make it disappear.
F6 function key - use this feature to print the displayed record.
on a single envelope. You can control where the record will
print on a dot matrix printer by using option N (Set defaults) on
the Services menu. The data printed is the data specified on the
Labels menu, minus carrier route number and bar code.
If using a laserjet, feed the envelope face up using the manual
feed envelope guides on top of the paper tray.
F7 function key - use this feature to print multiple mailing
labels of the current record.
F8 function key - use this feature to display your record count.
You will use this primarily to tell how many records meet the
filter condition. Without the filter set, this will give you the
active record count. This may vary from the running total shown
on the bottom right of your screen since the running total is the
total of all your active records plus any zapped records
available for reuse.
F10 function key - this is one of your most powerful features.
Use this feature if you want to work with a selected sub-set of
your records. This feature allows you to filter your master file
so that Label Master 5.1 can work with any sub-set of the file
you want.
You may use a Quick Query or a Super Query.
Use the Quick Query to quickly specify a particular sub-set of
records. For example, if you want to work with only New York
records, select Quick Query, and enter "NY" in the State field of
the filter criteria screen. Press the PgDn key and you will be
working with only that subset of records.
The Super Query allows you to build a more complex query
condition, and save the query condition for repeated use. Any
number of query conditions may be defined and saved. See
Appendix B for complete information on using the query builder.
When you set a filter condition, a "filter on" reminder message
will appear to remind you. When you clear the filter, (press F10
again) the message disappears.

When you set a filter condition, everything you do conforms to
the filter. This includes:
- Printing labels (see Labels discussion above for more
information)
- Printing hard copy lists (Services Menu - option E)
- Going to next record
- Going to previous record
- Using the main menu View option
- Counting records with the F8 feature
- Copy records to an ASCII file or a floppy disk
Remember, to turn the filter off, just press F10 again.
NOTES FOR CONVERTING FROM EARLIER VERSIONS
If you are upgrading from an earlier version of Label Master,
you can append those records into Label Master 5.1 by using
option G on the Services menu. Select option G, then the dBase
sub-option, and when prompted for the name of the file to append
enter the name of the records database for the earlier version of
Label Master.
The records database in version 4 is called NAMEFILE.DBF, and in
version 3 is called RECORDS.DBF.
If your version 4 is located in a directory called LM4, you
would enter the following for the file to append:
C:\LM4\NAMEFILE.DBF
If your version 3 is located in a directory called LM, you would
enter the following for the file to append:
C:\LM\RECORDS.DBF

APPENDIX A - REPORT WRITER
The Report Writer menu displays 12 command options down the left
side, a column which gives the column number, and five columns
which show the report specifications. The command options are:
Load REPORT:
Select this option for a list of previously defined and saved
reports. Highlight the report you want, press Enter, and the all
the specifications for the selected report will be loaded into
the Report Writer.
Create REPORT:
Select this option to create a new report. When you select this
option, you will be asked to name the report. After naming the
report, you must select Edit REPORT to define the new report.
Save REPORT:
Select this option to save your report specifications.
Edit REPORT:
Select this option if you want to define a new report you have
just Created, or change a report you have just Loaded.
When defining a new report you have just Created, the lite-bar
will be over column 1 of Column Contents. Press Enter to display
a list of database fields. Place the lite-bar over the field you
want to use in column 1 and press Enter. The name of the field
you have selected will appear in the Column Contents column.
Whether you are specifying the second column for a new report, or
editing an existing report you have Loaded, the editing procedure
is the same.
Use the arrow keys to move the lite-bar to the Column Contents,
Column Title, Width, Pict, and Total columns. Use the ENTER key
to change the contents of a column. Use the INSERT key to add a
new column. Use the DELETE key to delete a column. Use the
ESCAPE key when finished editing.

To Add: To add a new column to the report, place the lite-bar
over the Column Contents column where you want to insert the
new column, and press Enter. Select the desired field from
the list of fields which will be displayed. You will then be
asked to select one of two choices: (1) Use value contained in
database field: <field name>, or (2) Build extended expression
from field: <field name>. Normally, you will want to select
the first choice.
In some cases, however, you may want the column contents to
contain some modification of the field value selected. If so,
select the second choice, and the Report Writer's Expression
Builder will appear. See Appendix C for more information on
using the Expression Builder.
To Change: To change the contents of any of the five report
specification columns, use the arrow keys to place the lite-
bar over the item you want to change, and press Enter.
If you are changing an item in the Column Contents column, you
will be given two choices: (1) Pick New Value for this column,
and (2) Extend with Expression Builder. If you select the
first choice, you will be presented with the same choices as
discussed above when adding a new column. If you select the
second choice, you will be presented with the Expression
Builder.
If you are changing an item in the Column Title column, you will
first be asked to specify the column width, and will then be
asked for the new title. The Column Title column initially
contains the name of the field you have selected.
The Width column shows how wide the column is. If you want to
change the width of a column, select this item and enter a new
column width. The default is the width of the field.
Important note: You will probably want to increase the default
column size for numeric fields if you are totaling the column. If
you don't, the column may not be wide enough to display the
totaled values.

The Pict column lets you specify a picture, or mask, for numeric
fields. If you edit a numeric field's picture, you will see the
following:

* Inserts asterisks for leading blanks

@( Encloses negatives in parentheses.
@B Left justifies numbers
@C Displays CR after a positive number

The 9, period, comma, etc. are referred to as template
symbols.
Examples may help. If you wish the numeric field to display its
numbers with commas inserted at the proper places, you would
enter 999,999,999.99 in the picture clause. 77654.33 would be
displayed as 77,654.33. 100022345 would be displayed as
100,022,345.00.
Template symbols may be combined in the picture clause. For
example, enter @( 999,999.99 in the picture clause to display
negative comma-formatted numbers in parenthesis. Note the space
between the @( template symbol and the 999,999.99 template
symbol.
Finally, you may edit the Total column if you want the Report
Writer to total your numeric field columns.
Delete Report: Select this option to delete previously saved
reports.
Headers/Footers: Select this option to enter page titles and/or
page footers.
Filtering: Select this option to set a filter, i.e., specify the
criteria which records have to meet in order to be included in
the report. See Appendix B for a full discussion of how to
specify a filter condition using the Query Builder.

Grouping Order: This option is only available if the database
has an active index. You can find out if you have an active
index by choosing Grouping Order from the command list, and
then selecting View current sort selection. If there is no
active index, the report writer will tell you.
You may use this option to have the report writer group your data
into major and secondary groups. A group change is a point where
a change takes place in one of the keys in an indexed database.
Report subtotals will be printed at a group change.
If your database has one or more active indexes, the report
writer will present a menu of index choices. Pick the index
you want to use for the report.
Next, the report writer will ask you if you want to select a
major group from the index key. If you answer Yes, the report
writer will present a menu of major group choices based on the
index you have chosen to use. For example, if your index is
based on the expression LNAME + FNAME, the menu will show two
choices:
LNAME
LNAME+FNAME
If you select the full expression (LNAME+FNAME), the report
writer will not ask you if you want to use a secondary group. If
you select LNAME, the report writer will ask you if you want to
select a secondary group from the index key. If you answer Yes,
the report writer will present a menu of choices based on the
unselected portion of the index expression. In the example we
are using, the menu would consist of the single choice FNAME.
If this seems confusing, don't worry. Experiment with it a little
by producing sample reports, and you will quickly see how it
works.

Other Options: Select this option to customize the look of your
report. There are five categories within this option:
Page Dimensions: Use the choices in this category to set the
desired page length, page width, top margin, and left
margin.
Group Headers and Totals: Use the choices in this category
to give the major or minor groups, if any, a title. The
default titles are Major Group: and Minor Group:. You can
also select any underlining characters you may want to use
for the group headers and totals.
Eject (new page) Options: Use the choices in this category
to specify how you want the report writer to eject pages.
Separator Characters: Use the choices in this category to
specify separator lines and characters for titles,
individual detail lines, columns, etc.
Miscellaneous Options: Use the choices in this category to
specify whether you want to include a standard two line
header on each page consisting of the page #, date, and
time. You can also specify whether you want a full or
summary report. You would use a summary report primarily
for numeric reports where the major group totals were all
you were interested in.
The printer setup and exit codes allow you to send printer
control codes to the printer at the beginning and end or the
report. For example, if you are working with an Epson dot
matrix printer, and want to print a report in condensed
print, you would enter 15 as the setup code and 18 as the
exit code. If you need to enter more than one code,
separate each code with a comma.
If you are working with a laser jet printer and want to
print your report in landscape mode, you would enter
27,38,108,49,79 for the setup code, and 27,69 for the exit
code.
The examples given above will work for most dot matrix and
laser jet printers. However, printer control codes can vary
from printer to printer. See your printer manual for the
control codes used by your printer.
If you prefer, you can just leave the printer setup and exit
codes blank. This is ok. Leaving them blank means that the
printer will print in whatever mode the printer is currently
set for.

Print Report: Select this option to send the report to the
printer or to a disk file. We suggest using the disk file
option until you are sure you have the report just the way
you want it, since the disk file option displays the report
on the screen while also writing to the disk. You can see
right away whether the report looks the way you want it to.
You can suspend or quit report production by pressing the
Esc key at any time.
If you tell the report writer to prepare a disk file, you
will be prompted for a file name.
Report Status: Select this option to see a summary of the
total configuration being used by the report writer.

APPENDIX B - QUERY BUILDER
The query builder allows you to define a condition which a record
must meet in order for the record to be used by your application.
When you Quit the query builder with a query active, your
application will have access to only those records which meet the
query condition.
Think of the query condition as a filter. Records that do not
meet the query condition are temporarily filtered out. The other
records in your database are still there, but they are
temporarily hidden.
You can turn the query (filter) off by selecting Zap from the
query builder menu. All your records are now available to your
application.
When you select the query builder, you will be presented with the
following menu:
Build a new Query
Add to current query
Count matching records
Zap (remove) existing Query
Save current Query to disk
Restore Query from disk
Delete stored queries
What is current Query
Edit current Query
View records matching Query

Build a New Query: When you select this option, you will be
presented with a list of the fields in the database you are
working with. Here is an example:

select the field.
If you select the Deleted? option, you will be prompted to answer
T (True/Yes), or F (False/No). T (True/Yes) means you want to
include 'deleted' records in your query. If you answer F
(False/NO), this means you want to exclude 'deleted' records from
the query condition. A 'deleted' record is one which has been
marked for deletion but has not yet been purged, or packed, from
the database. In most cases, you will ignore this option.
When you select a field, you will be asked if you wish to further
define the field with the Expression Builder. The default answer
in No. In most cases, this is what you will want. If you have
some particular need to further refine the selection of data in
the field you have chosen, answer Yes, and you will be presented
with the Expression Builder. See Appendix C for details on the
Expression Builder.
If you have selected a character type field, the query builder
will display a menu of choices, as follows:

For many simple queries, you can select DONE. When first
learning and experimenting with the query builder, you will
probably want to select DONE and use the 'View records matching
query' option to see the results of your query specification.
If you wish to include other field specifications in the
query expression, you can select one of the other options, as
appropriate, and repeat the same procedure as above.
An example may help. Let's say your query expression at this
point is something like LASTNAME = "SMITH", and you wanted to
work with only those SMITH's who live in California. Assuming
your database contains a two character STATE field, you would:
1. select AND instead of DONE.
2. select STATE from the field list.
3. select EXACTLY EQUAL TO or CONTAINS
(CONTAINS is often better)
4. enter CA for the state name.
5. select DONE.
Your query expression now contains the appropriate references to
both fields.

When you have created your query expression, Query Active will
flash on the screen. You can now select another option from the
query builder menu. If you Quit the query builder, your
application will filter your records so that only those records
meeting the query (filter) condition will be used.
Add to Current Query: Select this option to add more
specifications to your query expression.
Count matching records: Select this option to have the query
builder count the number of database records that meet the query
condition you have specified.
Zap (remove) existing query: Select this option to remove the
existing query condition. This restores access to all the
database records.
Save current query to disk: Select this option to save the
current query condition so you can use it later without having to
redefine it. When you select this option, you will be prompted
for a description of the query condition. Enter any description
you want.
Restore query from disk: Select this option to restore a
previously saved query condition.
Delete stored queries: Select this option to have the query
builder display a list of stored queries. Select the one you want
to delete and the query builder will remove it from the query
file.
What is current query: Select this option to have the query
builder display the current query.
Edit current query: Select this option if you want to manually
edit the current query condition. Unless you are an experienced
database programmer, you will probably not want to do this.
View records matching query: Select this option to view the
records which match the query condition you have specified.
Quit: Select this option to quit the query builder and return to
your application.
The query builder can seem daunting at first. We suggest you
simply experiment with it, building simple query conditions to
get the feel of it. As you become more comfortable with how it
works, try more complex queries. Remember to save queries which
you may use again. This will save you the trouble of redefining
them.

The Expression Builder allows you to further define the field of
data you want to use. It presents you with a menu of choices
appropriate to the type of field you have selected, i.e.,
character, numeric, date, logical, or memo field.
Here are the choices if the field type is character:

records that contain a desired portion of the data in the
character field. For example, assume the character field you have
selected contains a ten character code, and you want to work with
only those codes that contain A99 in the first three spaces. You
could select EXTRACT, then Left 3 characters on the next screen.
The query expression would become LEFT(ITEM,3).
After Quitting to the next screen, you would specify EXACTLY
EQUAL TO, and then A99. If you then Viewed records matching the
Query, you would see only records which contained A99 in the
first three spaces of the item code field.

When you return to the main menu, the query expression will be
displayed in the Status box at the bottom of the screen to remind
you that the only records that are active are those which meet
the query expression. You can toggle the filter (query
expression) off by selecting Filter again from the main menu when
you are finished working with the A99 records.
JUSTIFY: Select this option if you wish the right justified, left
justified, or centered field data to match some value you are
going to specify. An example of a situation in which you might
use this capability would be where you suspect blank spaces might
have been entered in the field, e.g., " A99" instead of "A99".
By specifying left justified here, and specifying EXACTLY EQUAL
TO A99 at the next screen, you will get all the A99 records, even
those where blanks might have been entered by mistake at the
beginning of the field data.
CASE: Select this option if you wish the upper-cased,
lower-cased, or properized (first letter capitalized) field data
to match some value you are going to specify in the next step.
MOVE: Select this option if you want to move all the blank spaces
in a field's contents to either the beginning or the end of the
field data. "A99 123" would be treated either as " A99123" or
"A99123 ", depending on which option you select. You could then
compare the result of that expression to some value you will
specify in the next step.
ADD: Select this option if you wish to add or imbed particular
characters in the query expression in order to compare that
expression to some value you will specify in the next step.
SUBSTITUTE: Select this option if you want to have the filter
substitute one string of characters for another string so that
appropriate matching can take place against some value you will
specify in the next step.
DIFFERENT: Select this option if you wish to have the filter
convert characters to numeric or date format so that appropriate
matching can take place against some value you will specify in
the next step.
Other appropriate options for expression building are presented
when you select a numeric, date, logical, or memo field.
The basic idea is that the expression builder allows you to
further define the field of data you want to use. In the great
majority of cases, you will not need to use the Expression
Builder, but it is available as a tool which can be used if
needed.

APPENDIX D - ZIP-PLUS-4 SERVICE
This Label Master 5.1 feature allows you to create floppy disks
of Label Master 5.1 records which you can send to the U.S. Postal
Service where they will convert your 5 digit zip codes into 9
digit zip codes, and also provide carrier route numbers. The USPS
will also correct any of your incorrect zip codes, including
blank zip codes.
This feature can save you quite a bit of money since you will pay
less for mailings using 9 digit zip codes and carrier routes.
To take advantage of this feature, you must obtain a copy of the
USPS form entitled Diskette Processing Request Form - ZIP+4
Coding, from any U.S. Post Office.
When filling out this form, include this information:
Record Length: 90
Input File Name: DISK1.RKS
(if you have a lot of records, Label Master 5.1 will
automatically create and name the additional files as
DISK2.RKS, DISK3.RKS, etc.

For each INPUT records disk Label Master 5.1 creates, you will
have to supply a blank formatted OUTPUT disk to accompany it. The
Postal Service uses the OUTPUT disk to record the updated file.
Both will be returned to you by the Postal Service.
Your local Post Office will give you the address of the diskette
processing facility nearest you. Alternatively, you can mail your
diskettes to the national processing facility listed on the
diskette processing form.

When you select the Zip-Plus-4 feature from the Services menu,
you will be given two options, to produce the INPUT disk which
goes to the USPS, and to process the OUTPUT disk from the USPS.
Select the INPUT disk option to produce disk(s) to go to the
USPS.
Select the OUTPUT disk option when you have received the updated
disk(s) from the USPS.
Some things to note:
1. When Label Master 5.1 prepares the INPUT disk, it places on
the disk only those records which do not already have a nine
digit zip code or a carrier route number. This means, for
example, that if you have added 100 five-zip records since you
last updated your records with the zip-plus-4 service, Label
Master 5.1 is smart enough to place on the INPUT disk only the
100 new records.
2. Not all the records sent to the USPS will come back with nine
digit zip codes and carrier route codes. For example, a record
may contain an incorrect address, which the USPS computer cannot
match to a zip-plus 4 code. If the final four digits are not
added to a zip code, you should check the address to make sure it
is correct. Perhaps it should read 101 Maple Street instead of
101 Maple Road.
3. As a precaution, you should always back up your records before
updating your records with the Postal Service OUTPUT disk. If the
Postal Service has made any kind of mistake, and it sometimes
does, you will need to restore your original records from your
back up disk(s) because your zip codes may be all mixed up.

IMPORTANT NOTE
WE ASSUME NO RESPONSIBILITY FOR LOSS OF DATA.
Please make regular backup copies of your records to protect
against accidental erasures or system malfunction. All hard
disks will fail eventually. The only question is when.
Your records are in the files called LM5.DBF and LM5.DBT. These
two files MUST be backed up at the same time.
In addition to the DOS backup.com and restore.com programs which
come free with each copy of DOS, there are several commercial
programs available at your local software store for saving and
restoring copies of your records. These include:

-Fastback Plus
-PC Tools Delux
Should you ever need to restore backed-up files, please reindex
your records (Services Menu) after restoring.
In addition to backing up your records onto disks or tape, we
also suggest you use Label Master's hard copy report feature
(Services -E) to periodically print a hard copy of your records
and file it away. If a worst case scenario, you can always
re-type your records from this printout.
